Air Freight Office Operator

Job Description

A successful Air Freight Office Operator will process all customer shipments within a timely manner and with 100% accuracy and efficiency. 


This position will provide the highest quality customer service and attention to all customers aligning to best operating practices and working closely with the teams to ensure prompt turnaround of import and export deliveries. This is a hands-on role that processes a high degree of email communication, data entry and data capture of information. 


The business operates on a 7 day/week working roster so the position holder will be required to be available for weekend, overtime and public holiday work. The company culture promotes professional customer service, positive and respectful attitude, and a proactive team environment.

Job Responsibilities

Main responsibilities include:


  1. Liaise with Import, Export and Warehouse Teams to ensure the timely pick-up and delivery of freight from CTO’s

  2. Liaise with airlines for flight information and freight availability

  3. Data capture of consolidation information and the sending of pre-alerts / document availabilities and correct billing to customers.

  4. Ensure that all Import jobs are invoiced and costed within 24 hours of arrival.

  5. Cargo Automation of all consolidation.

  6. Ensure all freight is checked-in within 30 minutes of receiving from the warehouse and all check-ins have been processed before the end of day.

  7. Report damage and surplus cargo to Management immediately.

  8. Assist with processing Import Deliveries on the Delivery counter as back-up when required.

  9. Process Documentation Handovers.

  10. Report any safety or maintenance issues immediately to Warehouse Manager

  11. Ensure the Visitor and Employee Safety and Security procedures are followed and adhered to at all times.

  12. Negotiate spot rates and space with carriers for export shipments.

  13. Process export paperwork for outbound shipments and Xray Screening jobs.

  14. Handle Dangerous Goods Export shipments as required.


Procedures and Regulations:


  1. Follow and ensure all Customs, Security, CoR and Quarantine criteria are met at all times for both Air Import and Export.

  2. Liaise with Customs, Security, Quarantine and customers in a professional manner.

  3. Ensure that all relevant Company and Operational Policy and Procedures are followed and adhered to at all times.


Finance Reporting:


  1. Ensure all jobs are invoiced and costed accurately within 24 hours. (KPI)

  2. Consistently strive to improve processes to achieve maximum productivity and extend profit levels


Communication and Customer Service:


  1. Take part in regular Import meetings to ensure good communications and direction is maintained.

  2. Reply to all telephone calls within 2 hours of receipt. (KPI)

  3. Maintain your email messages in an efficient filing system and all emails are responded to within 2 hours or earlier.

  4. Action any customer complaints immediately in an effective and positive manner to ensure complete customer satisfaction. Refer these to the reporting manager.

  5. Apply effective communication with employees, managers, and customers.

Skills + Experience

Qualifications and Experience:


  1. High School Certificate or equivalent. Without HSC or equivalent additional work experience to achieve equivalent is preferred.

  2. Minimum of 1-3 years’ experience in the Freight Forwarding Industry.

  3. Over 95% data entry accuracy rate tested and over 40 wpm typing speed tested.

  4. Knowledge in Excel computing software to understand spreadsheets.

  5. Intermediate knowledge in Microsoft Word to create documents and letters for business purposes.

  6. Intermediate knowledge in Microsoft Outlook to create and manage emails for business purposes.


Special Job Requirements:


  1. You will have a clear understanding of pallet sizes, weight restrictions and knowledge of weight balancing to anticipate daily volumes from pre-alerts.

  2. It is expected in this position, overtime will occur and weekend work will be rostered when required.
