Import Operator

Job Description

The Import Operator will process all customer inbound shipments within a timely manner and with 100% accuracy and efficiency. 


This position will provide the highest quality customer service and attention to all customers aligning to best operating practices and work closely with the Warehouse and Transport Teams to ensure prompt turnaround of import deliveries. This is a hands-on role that processes a high degree of email communication, data entry and data capture of information. 


The business operates on a 7 day/week working roster so the position holder will be required to be available for weekend, overtime and public holiday work when needed. The company culture promotes professional customer service, positive and respectful attitude, and a proactive team environment.

Job Responsibilities

Main accountabilities include:


  • Liaise and assist Imports Supervisor to ensure the timely pick-up of freight from CTO’s

  • Liaise with airlines for flight information and freight availability

  • Data capture of consolidation information and the sending of pre-alerts/document availabilities faxes and the timely and correct billing to customers

  • Ensure that all Import jobs are invoiced and costed within 24 hours of arrival

  • Cargo Automation of all consolidation

  • Ensure all freight is checked-in within 30 minutes of receiving from the warehouse and all checkins have been processed before the end of day

  • Report damage and surplus cargo to Management immediately

  • Assist with processing Import Deliveries on the Delivery counter as back-up when required

  • Ensure all jobs are invoiced and costed accurately within 24 hours. (KPI)

  • Consistently strive to improve processes to achieve maximum productivity and extend profit levels. 


Human Resources and Training:


  • Ensure your regulatory qualifications are relevant and current to the position and tasks undertaken, within the prescribed dates

  • Coordinate relevant training with your reporting manager

  • Attend training courses offered by the company to up skill professional and industry knowledge. 


Company Policy, Procedures and Industry Regulations:


  • Timely and professional response to all Claims using the Claims Policy and Procedures

  • Advise your Reporting Manager immediately as to any significant claims issues. (KPI)

  • Follow and adhere to all Security, Customs and Quarantine criteria.

  • Follow and adhere to company and operational policy and procedures. Safety and Security

  • Maintain a tidy and efficient work area.

  • Follow and adhere to all safety, and security policy and procedures.

  • Report all incidents/accidents to your Reporting Manager immediately

  • Take part in regular Import meetings to ensure good communications and direction is maintained.

  • Reply to all telephone calls within 2 hours of receipt. (KPI)

  • Maintain your email messages in an efficient filing system and all emails are responded to within 2 hours or earlier.

  • Action any customer complaints immediately in an effective and positive manner to ensure complete customer satisfaction. Refer these to the reporting manager.

  • Apply effective communication with employees, managers and customers.

Skills + Experience

Qualifications and Experience


  • High School Certificate or equivalent. Without HSC or equivalent additional work experience to achieve equivalent is preferred.

  • Minimum of 1-3 years’ experience in the Freight Forwarding Industry.

  • Over 95% data entry accuracy rate tested and over 40 wpm typing speed tested.

  • Knowledge in Excel computing software to understand spreadsheets.

  • Intermediate knowledge in Microsoft Word to create documents and letters for business purposes.

  • Ability to clearly explain to clients and peers, any questions requiring clarification

  • Ability to write effectively and to extract information from written materials

  • Show understanding to employee’s problems and suggestions and provide alternative options to solutions

  • Display a high level of customer service and maturity when dealing with customers, peers and managers

  • Consistently display a friendly and confident manner with a pleasant personality

  • High integrity can be depended upon and is a team player


Special Job Requirements:


  • You will have a clear understanding of pallet sizes, weight restrictions and knowledge of weight balancing to anticipate daily volumes from pre-alerts.

  • It is expected in this position, overtime will occur and regular weekend work will be rostered.

  • We insist on a professional and safe business dress standard for all employees. If a uniform is provided this must be worn in accordance with the company policy.
