Air import operation daily duties:
• Reviewing and reporting all incoming import jobs and emails
• Keeping up with all direct MAWB shipments to make sure they are collected before storage as they
• Reviewing and completing all under bonds that are required in the morning (Nicole is no longer here, and she would start early to have these done)
• Completing invoicing on all jobs (Not including Maersk – Ship global – Solid logistics as they have their rates that I don’t have)
• Booking all shipments from our consoles to the respected destinations
• Completing JETS invoices or DIRECT couriers’ invoices when required.
• Making terminal exception reports when required
Overview of Role
The position holder will process all customer inbound shipments within a timely manner and with 100% accuracy and efficiency. This position will provide the highest quality customer service and attention to all customers aligning to best operating practices and work closely with the Warehouse and Transport Teams to ensure prompt turnaround of import deliveries. This is a hands-on role that processes a high degree of email communication, data entry and data capture of information. The business operates on a 7 day/week working roster so the position holder will be required to be available for some weekend, overtime and public holiday work. Weekend & Public Holidays can be done through Work From Home. The operator would also need to assist with sea freight.
Job Responsibilities
1. Liaise and assist Imports Supervisor to ensure the timely pick-up of freight from CTO’s.
2. Liaise with airlines for flight information and freight availability
3. Data capture of consolidation information and the sending of pre-alerts/document availabilities faxes and the timely and correct billing to customers.
4. Ensure that all Import jobs are invoiced and costed within 24 hours of arrival.
5. Cargo Automation of all consolidation.
6. Ensure all freight is checked-in within 30 minutes of receiving from the warehouse and all check[1]ins have been processed before the end of day.
7. Report damage and surplus cargo to Management immediately.
8. Assist with processing Import Deliveries on the Delivery counter as back-up when required.
9. Ensure all jobs are invoiced and costed accurately within 24 hours. (KPI)
10. Consistently strive to improve processes to achieve maximum productivity and extend profit levels. Human Resources and Training:
11. Ensure your regulatory qualifications are relevant and current to the position and tasks undertaken, within the prescribed dates.
12. Coordinate relevant training with your reporting manager.
13. Attend training courses offered by the company to up skill professional and industry knowledge. Company Policy, Procedures and Industry Regulations:
14. Timely and professional response to all Claims using the Claims Policy and Procedures.
15. Advise your Reporting Manager immediately as to any significant claims issues. (KPI)
16. Follow and adhere to all Security, Customs and Quarantine criteria.
17. Follow and adhere to company and operational policy and procedures. Safety and Security
18. Maintain a tidy and efficient work area.
19. Follow and adhere to all safety, and security policy and procedures.
20. Report all incidents/accidents to your Reporting Manager immediately
21. Take part in regular Import meetings to ensure good communications and direction is maintained.
22. Reply to all telephone calls within 2 hours of receipt. (KPI)
23. Maintain your email messages in an efficient filing system and all emails are responded to within 2 hours or earlier.
24. Action any customer complaints immediately in an effective and positive manner to ensure complete customer satisfaction. Refer these to the reporting manager.
25. Apply effective communication with employees, managers and customers.
Skills + Experience
1. High School Certificate or equivalent.
2. Minimum of 1-3 years’ experience in the Freight Forwarding Industry.
3. Knowledge in Excel computing software to understand spreadsheets.
4. Intermediate knowledge in Microsoft Word to create documents and letters for business purposes.
